Separate urgent maintenance from routine requests

Your receptionist uses your maintenance rules to flag urgency and collect details for your team. That gives overnight reports and routine repair requests a defined next step when calls forward to it.

  • Locate the problemCollect the property, unit and caller's callback details.
  • Apply your rulesFlag urgency using the maintenance conditions you provide.
  • Route the reportSend urgent calls toward your chosen on-call contact.

Maintenance triage gives your team a structured report before deciding what work to send out. A tenant reporting a burst pipe needs different handling from someone reporting a dripping faucet, and your onboarding answers define that distinction.

We ask you what counts as urgent and who should receive those calls. Your receptionist gathers the caller's description, tags the urgency and takes a message or starts your urgent routing sequence. You receive a call summary, transcript and recording so the maintenance coordinator can review the actual report instead of working from a brief voicemail.

Collect the unit, assess urgency and reach on-call

A maintenance call starts with the virtual-assistant and recording notice, then moves into location, problem and urgency questions. Urgent reports follow the contact order you set during setup.

  • Open clearlyState that the caller reached a virtual assistant and the call is recorded.
  • Gather the reportAsk where the problem is and what is happening.
  • Reach your contactOffer a warm transfer or page for urgent maintenance.

Your receptionist turns the caller's account into a message your on-call person can use. For a fictional burst pipe in unit 4B, that means collecting the location, what the tenant sees and a callback number, then applying the urgency instructions you supplied.

With a warm transfer, your on-call person hears a short summary before pressing 1 to accept the call. You can choose paging instead and set the contact order. Email and app push notifications carry the call report, while the dashboard keeps the transcript and recording available for review. The daily digest gives you another way to review maintenance activity.

Set urgency rules, contacts and forwarding hours

You define maintenance urgency, the on-call contact sequence and when calls reach your receptionist. We use your onboarding answers and website to establish the instructions, then provide a test call before launch.

  • Define urgent conditionsExplain which maintenance reports need an on-call response.
  • Choose the sequenceSet who receives urgent calls and in what order.
  • Select forwardingSend all calls or choose busy, unanswered or after-hours calls.

Your setup starts with a 10-15 question chat about your business, including maintenance priorities and the people responsible for urgent calls. Give clear examples of routine repairs, urgent conditions and issues your company does not handle. Those details make the instructions useful when a tenant describes a problem in their own words.

You keep your business number and choose which calls to forward. We provide a forwarding guide for your carrier or phone system and a test call before you go live. Later, change settings by telling the AI in plain words. Use our maintenance emergency checklist to prepare the instructions your team wants followed.

Keep emergency response and repair decisions with people

Your receptionist collects and routes reports; your team decides repairs. For fire, get everyone out first, then call 911 from outside. For gas smells or flooding near electricity, get everyone out; call 911 or the utility from outside.

  • Safety comes firstDirect dangerous situations toward 911 or the utility first.
  • People decide repairsYour maintenance team determines the work and response.
  • Review the recordCheck summaries against transcripts when a report needs context.

Your receptionist is not an emergency service, and an urgency tag is not a diagnosis. For gas smells, CO alarms or flooding near electricity, safety scripts tell callers to get everyone out and call 911 or the utility from outside. For medical emergencies, callers are told to hang up and call 911 right now. The scripts then alert your team.

For maintenance work, the AI works from the information the caller gives and the rules you supply. It can make mistakes, so review the call record and keep a backup way for your team to be reached. Summaries are available for you to enter into your work-order software; direct software connections are not live at launch.

Try a burst pipe or no-heat report in the demo

The browser demo lets you act as a tenant reporting maintenance to a fictional business. Listen for location questions, urgency handling and the distinction between a repair request and a dangerous situation.

  • Report a burst pipeUse the fictional unit 4B scenario after hours.
  • Describe no heatHear how the receptionist gathers a winter maintenance report.
  • Test safety handlingTry the fictional fire or gas-smell scenario in the browser.

You can assess the intake questions directly in our maintenance call demo without signing up. Start with a fictional burst pipe at 2 a.m., then compare it with a no-heat report or tenant lockout. Notice whether the questions would give your coordinator enough context to make the next decision.

The demo uses a fictional business, so it does not contain your property's rules or reach your maintenance team. To test your own instructions, request a free trial; we'll email your sign-in link when ready, then you complete onboarding and make the setup test call. Your trial will last 14 days with 100 minutes; a card is required before forwarding goes live.

Common questions

How does the AI decide which maintenance calls are urgent?

It applies the urgency rules you give us during onboarding to the caller's report. You define the conditions and the contact sequence rather than leaving those decisions to a generic script. Your team reviews the summary and call record when deciding the maintenance response.

Can it page my on-call maintenance technician?

Yes. Urgent calls can page your on-call contact or use a warm transfer in the order you set. For a warm transfer, the recipient hears a short summary and presses 1 to accept. Choose the route that fits how your maintenance team receives overnight reports.

What happens when a caller reports fire or a gas smell?

For gas smells, the safety script says to get everyone out and call 911 or the utility from outside. For fire, get everyone out first, then call 911 from outside. It then alerts your on-call team. The receptionist is not an emergency service. Its maintenance role is to collect the report and route it according to your instructions after the safety direction.

How will I receive maintenance messages?

Each call produces an email and app push notification with a summary, urgency tag, transcript and recording. You can also review calls in the dashboard and receive a daily digest email. Your coordinator can use those details when entering a work order in your existing software.

Can I keep my number and forward only after hours?

Yes. Keep your business number and choose after-hours forwarding, or forward when your line is busy or unanswered. You can also forward all calls. We supply a guide for your carrier or phone system, and you make a test call before putting the setup into service.
