Operator and service

TypeScience, trading as Property Mgmt Answering, provides the AI receptionist described in these terms. The service answers property management business calls using the information and instructions you supply. These terms cover the subscription and include the data processing terms for callers' information.

You can try the browser demo without signing up. Request a free trial for your business; we email your sign-in link when the trial is ready, then you complete an onboarding chat with the AI. There is no phone sales step in the signup process.

What your receptionist does

Your receptionist answers as your business day and night once your calls forward to it. You choose whether to forward all calls or only calls that are unanswered, arrive while your line is busy or come in after hours.

The service takes intake details, flags urgency, collects messages and politely ends spam and robocalls. It speaks English and Spanish, and callers can switch languages during a call. It can book appointments into Google Calendar or collect details for your callback, depending on your instructions.

Setup and accurate instructions

You are responsible for the accuracy of the information you give the AI. During the onboarding chat, you provide your services, service area, hours, price policy, urgency rules and on-call contacts. Your website also supplies business information when you direct us to use it.

Review your instructions as your business changes. For property inquiries, provide the listing facts the receptionist should use, including rent, availability and pet policies. The receptionist uses those supplied facts; it does not make up unit details or make screening or approval decisions.

Phone forwarding and backup routing

You receive a local number in your area code and a forwarding guide for your carrier or phone system. A test call comes before you go live. Your existing business number can remain the number callers dial when its calls forward to the receptionist.

You must keep a backup way for your business to be reached and review call summaries. If your plan lapses, calls go to your backup number or voicemail. The AI can make mistakes, so call records and backup arrangements remain part of your responsibility for handling tenant, owner and prospect requests.

Trial and monthly subscription

The free trial lasts 14 days and is capped at 100 minutes. A payment card is required before call forwarding goes live. The trial converts to a paid subscription only with a card on file, and we send a reminder email two days before conversion.

The subscription costs $249 per month and includes 500 AI minutes. Additional minutes cost $0.20 per minute and are billed monthly. You can view usage in the dashboard when reviewing how your business uses the service.

Renewal and cancellation

Your subscription renews monthly until you cancel online. The service is month to month, and you can cancel online in one click. Cancellation takes effect at the end of the paid month.

Plan renewal and call forwarding are separate parts of operating your account. Keep your backup number or voicemail arrangements current for a lapse in service. Send questions about your account, usage or cancellation to support@propertymgmtanswering.com.

Greeting, recording and AI disclosure

The receptionist announces at the start of calls that it is a virtual assistant and that the call is recorded. These notices cannot be switched off. The service is offered with that disclosure as part of its greeting.

You are responsible for your business's greeting and policies within those requirements. Do not instruct the receptionist to conceal that it is a virtual assistant or remove the recording notice. Review your greeting together with your intake questions so the call begins with the information your callers need.

Call alerts and urgent transfers

We send an alert for each call by email and app push notification, with a summary, urgency tag, transcript and recording. A daily digest email brings call information together for review. Your dashboard also contains calls, transcripts, recordings, usage and settings.

Urgent calls follow the contact order you set. A warm transfer gives the on-call person a short summary before they press 1 to accept the call, or the service can page them. You supply the urgency rules and identify the people responsible for responding.

Emergency limits and safety instructions

Property Mgmt Answering is not an emergency service or a replacement for 911. For a gas smell, a CO alarm, sparks or burning smells, or flooding near electricity, the safety script tells the caller to get everyone out and call 911 or the utility from outside.

For a fire, the script tells the caller to get everyone out first, then call 911 from outside. For a medical emergency or anyone in danger, the script tells the caller to hang up and call 911 right now. The service then alerts you. Your maintenance urgency rules support routing to your business; they do not turn the receptionist into an emergency responder. Keep your on-call instructions accurate so your team can act on the alert.

Consistent leasing answers

Your receptionist uses the same supplied listing facts for callers asking about a unit. It does not describe neighborhoods, schools, safety or who a property is good for. It does not steer callers or decide whether a person should be screened or approved.

You are responsible for the property facts and policies you provide. Showing arrangements can follow your appointment instructions, while questions needing your decision can become callback requests. Use your onboarding answers and settings to define the information the receptionist should collect for your team.

Optional website chat and lead follow-up

Website chat is an add-on for your own site and uses the same knowledge and rules as your receptionist. Lead follow-up calls are a separate add-on for people who filled in your web form and ticked a consent box naming your business.

You are responsible for keeping consent records for follow-up calls. Follow-up operates within about a minute, between 8 a.m. and 8 p.m. in the recipient's time, with one attempt and one retry. Opt-outs are honored at once, and the add-on does not permit cold calls, list dialing or purchased leads.

Acceptable use

You must not use the service for illegal activity, cold calling, robocalling, impersonation or harassment. We may suspend service for abuse. Instructions you supply to the AI must stay within these acceptable-use limits and the features offered by Property Mgmt Answering.

Healthcare use involving protected health information is not permitted. The service is offered for property management call handling. Do not use your account to operate medical, dental or therapy intake or to bypass the restrictions on outbound calling.

Data processing roles and instructions

Your business decides what caller information is collected and why, and we process that information on your behalf. These data processing terms are part of the service terms. Your onboarding answers, intake questions and call-handling settings provide the operating instructions for that processing.

Processing includes handling caller numbers, audio, recordings, transcripts, summaries and the details callers provide. We use that information to answer calls, take messages, assign urgency, arrange appointments and deliver call records under your instructions. We never sell personal information or use callers' data for our own marketing.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

Providers, access and retention

Service providers support hosting and storage, telephone service, AI voice and text models, payment processing, email delivery and analytics. Our AI model provider, OpenAI, does not use our API data for model training by default. Our payment processor handles billing, and we do not store full card numbers.

Recordings are retained for the period your business chooses, either 30 or 90 days, then deleted. Transcripts and summaries remain while the account is open and are deleted within 30 days after closure or on request. Callers may ask your business or us about access, correction, deletion or opt-out requests.

Account, visitor and demo information

We also collect customer account details, onboarding answers and the website content you direct us to use. Demo calls and chats on this site are recorded and transcribed to display their results. Website analytics include privacy-friendly analytics and Google Analytics, which uses cookies.

The privacy policy explains these information categories, retention and privacy requests. Email privacy@propertymgmtanswering.com about personal information. This service is not for children under 13, and healthcare use involving protected health information remains outside its permitted scope.

Service limits and liability

The service is provided as is, and the AI can make mistakes. You are responsible for reviewing summaries and maintaining a backup way to be reached. Use the dashboard and call records to check how your instructions are being applied to actual requests.

Liability is capped at the fees paid in the prior 12 months. Your subscription provides the call-handling features described here, with the operating limits stated in these terms. It does not replace the decisions your business makes about maintenance work, leasing approvals or emergency response.

Governing law, changes and support

These terms are governed by the law of California. We notify you of changes to the terms by email. The date at the beginning of this page identifies when the published terms were last updated.
